Policies & Procedures
Responsibilities
of the
Madrasah Administration
The Administration
is responsible
for the smooth running of the Madrasah and in keeping with
Islamic norms. It guides and assists teachers, students and
parents through
the Madrasah system.
Its
responsibilities include:

Running the
Madrasah.
-
Fonnulating
Madrasah 's policies and regulations.
-
Planning and
coordinating
courses, teacher assignments, administrative arrangements, and
all related activities.
-
Creating and
maintaining an
Islamic atmosphere at the Madrasah.
-
Facilitating and
encouraging communication between teachers and parents
of the Madrasah.
Responsibilities of Teachers and Support Staff
Teachers are tasked
with motivating and educating students in the most effective manner,
and with facilitating a positive Madrasah experience
for students.
Their
responsibilities include:
-
Serving as
appropriate role models for their students.

Attending the
Madrasah regularly and punctually, or when not possible, notifying the
administration and/or arranging for a substitute.
-
Preparing
appropriately to facilitate an orderly classroom atmosphere
that is conducive to learning.
-
Completing all
requirements of the currculum within the specified timeframes.
-
Communicating with
parents of their students.
-
Utilizing Teaching
Assistants (TAs), where available, to organize class activities, to
provide individual-level attention to students in need, to help out
with assignments and their grading, and generally to groom them to
become future teachers.

Establishing an
effective partnership with other staff members, students, and parents
- Attend all Madrasah
sponsored meetings and training sessions, or when not possble,
notifying the administration of their absence.
Responsibilities of Parents
Parents are pivotal
in the success of their children in acquiring Islamic education at
Madrasah.
The parents'
responsibilities include:

Ensuring that
their child attends Madrasah regularly and punctually, or when not
possible, notifying the administration of their absence.

Making arrangements
to make up for missed classes.
-
Ensuring that
their child is appropriately dressed for the Madrasah.
-
Teaching and
reinforcing the importance of respecting teachers and
peers, and theh importance of observing Madrasah rules and
regulations.
-
Reviewing with
their child material taught at Madrasah, and ensuring that all
homework assignments are completed on time.
-
Communicating with
teachers of their child to jointly chart their child's progress at
Madrasah.
Responsibilities of Students
The students'
responsibilities include:
-
Observing all
Madrasah rules and regulations.
-
Attending Madrasah
regularly and punctually.
-
Wearing proper
Islamic dress to the Madrasah (For details, refer to the
"Dress Code" section).
-
Bringing to class
appropriate texts, handouts, and necessary supplies.
-
Participating in
class discussions and activities.
-
Completing all
homework assignments and preparing for quizzes and exams.
-
Conducting
themselves in a courteous and responsible manner.
-
Showing respect
towards their peers and their teachers.
POLICIES
1.
Curriculum
All courses taught
in the Madrasah will be based on the Qur'an and teachings of Prophet
Muhammad (S) and his Ahlul-Bayt (A).
2.
Admission and Transfers
Admission is open
to all Muslims
who are four years of age or older on the 31st day of August of each
school year. To request admission, fill out the registration form and submit it.
Applicants will then be assessed and be placed
in appropriate classes.
3. Texts
and
Supplies
-
Madrasah will
provide reasonable supplies needed for
instruction, where possible.
-
Madrasah may
require students to purchase
prescribed texts.
4.
Performance Assessment
The Madrasah
supports a system of continuous and comprehensive assessment
-continuous because the assessments occur throughout the year,
and comprehensive because it covers the material
taught and Islamic behavior.
To this end,
teachers may use any or all of the following methods:
-
Hold periodic
quizzes or tests.
-
Give homework
assignments.
-
Assess
participation in class discussions and activities.
-
Evaluate behavior
in the class and, more generally, during the Madrasah hours.
It is customary for
grades to be computed as a combination of all of the above. It is
Madrasah's recommendation that teachers compute grades as follows:
-
Test/Quiz: 25%
-
Homework: 25%
-
Attendance: 25%
-
Assessment: 25%
5. Parent-Teacher Conference
Parents are
encouraged to meet teachers or,
when necessary, an administrator, to track their child's
progress.
Teachers may request to meet with parents on a periodic basis. Formal
teacher-parent conferences may be scheduled at the
discretion of the Administration. The purpose of these conferences is
to help parents:

Understand the
areas to be covered in each subject and the ways in which they could
work cooperatively with the teachers.
-
Learn about their
child's academic progress, work habits, social relationships with other
students and with Madrasah staff.
6.
Promotion and Retention
The Madrasah may,
at its discretion, retain a student in the same grade for another year
if he/she has not attained a minimum level of proficiency in the
subject matter and/or behavior, as defined by Madrasah.
7.
Attendance
It is expected of a
student to attend all Madrasah days. If a student has to miss a day,
parents should notify the administration as soon as possible, preferably before such absences occur.
Students who are
unduly absent for more than 4 Madrasah days per semester, or 3
consecutive
Madrasah days, may forfeit their placement unless valid reasons are
provided. Vacations are not considered valid reasons.
An absent day will
negatively affect a student's Attendance grade unless:
- if the student is
absent due to illness, or
- if the student asks
for, and is granted, extra work to make up for their absent day.
A student who
misses a test or an assignment may
request a make-up test from his/her teacher to be
administered at the discretion of the teacher.
Tardiness is counted as half of Absent for grading
purposes.
8. Dress
Code
Islamic dress code
must be adhered to by all the students and staff without
exception.

Men must wear long
pants with their uniform shirts. Baseball caps
and earrings are not allowed.
-
Women must observe
hijab (scarf covering all their hair), and wear loose clothing with
their uniform.
9.
Disciplinary Action
Disciplinary action may be
taken on students who infringe rules and regulations of the Madrasah.
The action will depend on the severity of infraction and, at the discretion of the teacher and/or the
Administrator, and may include:
- Convening a Parent-Teacher conference.
- Detention with special assignment
- Suspension
/Expulsion
10. Grievance Recourse
Parents have the right to challenge any action of a teacher or an administrator. They can do so by:
- Asking for a Parent-Teacher conference.
- Writing to and meeting with the Principal and/or Vice Principal.
- Asking for intervention from the Parents Advisory Board.
- Bringing it up during "Any Other Business" at the Annual General Meeting.
11. Fees
The Madrasah will charge a fee to be determined at the
beginning of each academic year. Fees are due at the beginning of the
academic year. Parents unable to afford the fees are encouraged to
contact the Administration for possible sponsorships.
Fees are
refundable, minus an administrative charge, for any unattended
semesters. A semester is considered "attended" if the student attends
any two of its Madrasah days.
Money paid towards supplies, textbooks, and uniforms is non-refundable.
12. Electronic Devises
Student use of all electronic devises during class-time is
prohibited unless sanctioned by a teacher. Should a violation occur,
the devise will be confiscated, and will only be returned at the
intervention of a parent/guardian.
13. Food and Drink Madrasah does not allow food and drink to be consumed in the two halls at any time.
